What Is Chargeback Dispute Management?

A chargeback occurs when a cardholder contacts their bank to dispute a transaction rather than requesting a refund from the merchant directly. The bank then reverses the charge on behalf of the customer, deducting the amount from your account along with a chargeback fee that typically ranges from $25 to $100 per incident. If your chargeback ratio exceeds card network thresholds, you can be placed in a monitoring program or lose your merchant account entirely.

Dispute management is the process of reducing chargebacks through a combination of prevention, automated resolution, and representment. Done well, it lowers your chargeback ratio, recovers lost revenue, and protects your processing account from unnecessary risk.

The Three Layers of Dispute Defense

Effective dispute management works at three stages: before the chargeback is filed, at the moment it is filed, and after it has been filed.

Prevention through alerts. Ethoca and Verifi alert networks notify you when a cardholder contacts their bank to dispute a charge. You typically have 24-72 hours to issue a refund or resolve the issue directly, stopping the chargeback before it posts. This is the most cost-effective form of dispute management because it avoids the chargeback fee entirely.

Automation through RDR. Visa’s Rapid Dispute Resolution lets you define rules for which disputes to automatically resolve. When a dispute matches your criteria, the system refunds the customer immediately, with no manual review on your end. This is especially useful for high-volume merchants who cannot review every dispute individually.

Representment. When a chargeback has already posted and you have strong evidence to dispute it, representment allows you to challenge the chargeback with the card network. We build the evidence package, submit the response, and track the outcome on your behalf.

Why Specialty Merchants Need Active Dispute Management

Merchants in specialty verticals face higher chargeback exposure than standard merchants. Customers in subscription-based models, nutraceuticals, iGaming, and similar categories are more likely to dispute charges through their bank rather than contacting the merchant directly, particularly when the purchase is sensitive or recurring.

Card networks hold all merchants to the same dispute and fraud thresholds regardless of vertical. Visa’s current rule is the VAMP (Visa Acquirer Monitoring Program) ratio, with a merchant standard threshold of 1.50%. Exceeding it can trigger fines, additional scrutiny, and placement in a monitoring program. Merchants who remain above the threshold for extended periods risk processor termination and potential placement on the MATCH list, which makes future account approvals significantly harder.

Active dispute management is not optional for specialty merchants. It is a fundamental part of staying within acceptable processing parameters.
